What is a visa cover letter?
A visa cover letter is a one-page letter addressed to the visa officer that explains, in your own words, who you are, why you are travelling, when you will travel, where you will stay, how you are funding the trip, and why you will return home. It is the first document the officer reads - and the only document where you control the narrative.
Cover letters are not always mandatory. Schengen and Japan formally require them; the US, UK, Canada, and Australia merely recommend them. We strongly advise you submit one regardless. It costs nothing, takes thirty minutes, and frames every other document in the file. Without one, the officer constructs your story from scattered bank statements, flight bookings, and forms - and the story they construct may not be the one you wanted to tell.

Customising the letter by visa type
- Tourist: emphasise specific places you want to see, your return ties (job, family, property), and that the trip is fully funded.
- Business: emphasise your role, the host company or event, the meeting purpose, and your employer's sponsorship of the trip.
- Student: emphasise admission details, financial support (scholarship, parents, savings), study programme dates, and post-study plans.
- Work: emphasise the job offer, your qualifications matching the role, the contract dates, and the employer's licence/registration.
- Medical: emphasise the diagnosed condition, the specific hospital and physician you will see, treatment dates, and the cost of treatment.
- Transit: keep it brief - confirm the connection time, the onward ticket, and that you will not leave the airport.
Tips from immigration attorneys
- One page maximum. Officers have two to three minutes per file. A two-page letter signals you cannot edit; a three-page letter goes straight to the bottom of the pile.
- Match every date and detail to your application form (DS-160, VAF, IMM, Schengen). One mismatched date is enough for a refusal under "information inconsistent".
- Never lie. Misrepresentation triggers a permanent ban under most countries' immigration acts - and consular databases share fraud markers across visa regimes.
- Print the letter; do not handwrite it. Handwritten letters look unprofessional and slow officers down.
- Sign in blue ink so the officer can tell the wet-signed original from the photocopy in the file.
- Keep an unsigned electronic copy for yourself. If the embassy asks for a follow-up, you want to be able to resend the same exact wording.
