What the employer letter must contain

The employer letter is the single most-checked document in any employed person's visa application. Consular officers compare it against your payslips, your bank statements, your application form, and (in some cases) phone-verify with HR. Anything inconsistent or missing kills the file.

  1. Printed on official company letterhead - full logo, registered company name, address, registration/tax number. No letterhead = automatic suspicion.
  2. Employee's full legal name (matching passport), employee ID, job title, and start date in the role.
  3. Annual gross salary in local currency. Optionally also monthly net or per-month gross.
  4. Exact approved leave dates - not "approximately two weeks" but "from 4 September 2026 to 18 September 2026 inclusive".
  5. A clear statement that the employee will return to work on a specific date and that their position is held open.
  6. HR contact details for verification - name, phone, email, signatory's role.
  7. Wet signature in blue or black ink + company stamp/seal (most embassies expect both).
  8. Date of issue - within 30 days of visa appointment.
Microsoft Word "letterhead" generated the day before is a giveaway. Use your actual company stationery, with logo, registered address, phone, and tax/registration number printed at the top - not pasted as an image.

If you are self-employed, you write your own "employer letter" on the letterhead of your business. The structure is the same - confirm the business exists, that you are the proprietor, your income, and that you will return to your business.

What if you don't have an employer?

  • Self-employed / freelancer: write your own letter on your business letterhead; attach business registration, last 2 years' tax returns, and recent client contracts.
  • Retired: write a personal cover letter explaining retirement, attach pension statements (last 3 months) and any rental/dividend income statements.
  • Student: ask your university to issue an enrolment letter on official letterhead - date of admission, programme, expected graduation, term dates, and tuition status.
  • Unemployed: provide a stronger financial profile (savings + assets + property) and a sponsor letter from a family member. Be honest about employment status; lying about a fake employer is the fastest route to refusal.
  • Homemaker: explain household status in cover letter; spouse becomes the sponsor with full financial documentation.
